Booking Conditions
Welcome to ChinaMed Waypoint! Please read through our booking conditions to ensure you understand the terms and policies surrounding your medical journey in China. Your journey to health, comfort, and cultural discovery begins here.
By booking services with us, you agree to the following conditions.
1. Service Details
ChinaMed Waypoint provides personalized coordination services for medical tourism in China. We assist in arranging medical appointments, accommodations, transportation, and additional logistics, ensuring a seamless and stress-free experience for the Client and accompanying guests.
2. Medical Service Coordination
We ensure that all medical appointments arranged will be with reputable institutions, including public Class A tertiary hospitals in China (公立三级甲等医院) or private hospitals that meet equivalent standards of medical care and facility accreditation, ensuring the safety, professionalism, and legitimacy of all medical institutions involved.
Medical decisions, diagnoses, and treatments are provided by licensed physicians and hospitals, with ChinaMed Waypoint solely offering logistical support and coordination services.
2.1 Medical Expenses Not Included
Please note that ChinaMed Waypoint's service fee does not cover any medical costs charged by hospitals or clinics, including but not limited to consultations, laboratory tests, imaging, medications, procedures, or hospital stays.
All such fees are the responsibility of the Client and must be paid directly to the medical institution at the time of service.
3. Assumption of Risks
By booking with ChinaMed Waypoint, you acknowledge and accept the inherent risks associated with international medical travel. These may include, but are not limited to:
- Changes in travel restrictions, medical policies, or government regulations
 - Medical procedures performed under standards that may differ from your home country
 - Transportation, accommodation, or facilities in China that may not meet the standards of your origin country
 - Unforeseen illness, delay, or complications arising from medical treatment or travel
 
You acknowledge that your participation is voluntary, and you assume full responsibility for any risks, including delays, emotional distress, injury, or financial loss.
4. Release of Liability
In consideration of booking services through ChinaMed Waypoint, you release and discharge ChinaMed Waypoint and its affiliates, agents, employees, and partners from all liability arising from your participation in medical travel programs.
This release extends to all companions or dependents traveling with you, and is binding upon your heirs, successors, and legal representatives. You accept full personal responsibility for your decision to seek medical care abroad.
5. Booking & Payment Terms
To confirm your booking, we require:
- A non-refundable deposit of USD 500 per patient participant (accompanying persons are exempt)
 - Full balance payment at least 30 days before departure
 - If booking within 30 days of travel, full payment is due at time of booking
 
All prices are quoted in USD and based on double occupancy unless otherwise stated. Final trip pricing depends on confirmed services, and is not guaranteed until full payment is received.
6. Cancellation and Refund Policy
6.1 If you cancel your service more than 30 days before your scheduled departure, we offer a full refund minus a 10% administrative fee. If the cancellation is made within 15–30 days before departure, 50% will be refunded. If you cancel within 15 days or less before departure, or after arrival in China, no refund will be provided due to the complexity of medical arrangements.
6.2 If you do not arrive for your medical appointment, no refund will be provided.
7. Itinerary & Quotation Validity
While we strive to adhere to planned itineraries, adjustments may be required due to:
- Hospital appointment availability
 - Government policy changes
 - Airline or train schedule changes
 - Public health regulations
 
We will communicate changes in a timely manner. All quotations are valid for 14 days unless otherwise stated.
8. Force Majeure
ChinaMed Waypoint is not liable for any cancellations or changes to the trip caused by unforeseen circumstances such as travel restrictions, natural disasters, political instability, or other events outside of our control.
9. Medical Responsibility
ChinaMed Waypoint is not a medical provider. We serve as a coordinator of logistics and appointment scheduling with licensed medical institutions in China. All medical advice, diagnosis, treatment, or procedures are solely the responsibility of the treating institution and physician.
We do not make any guarantees about treatment results, outcomes, or timelines. Patients must assess and confirm their fitness for travel and medical care abroad with their local physician before booking.
10. Client Responsibilities
Clients are responsible for:
- Securing valid passports and visas (ChinaMed Waypoint can assist with supporting documentation)
 - Purchasing international travel & medical insurance (strongly recommended)
 - Complying with all local public health and hospital requirements (e.g., testing, masks)
 - Providing accurate and complete medical history when requested
 
11. Insurance Requirements
We strongly recommend all participants purchase international medical insurance and emergency evacuation coverage prior to travel. We strongly recommend purchasing a plan that includes trip cancellation/interruption benefits.
12. Accompanying Person Policies
Accompanying persons are welcome and will receive assistance with:
- Hotel booking
 - Transportation (including airport transfers)
 - Translation and local navigation
 
However, they are not entitled to medical services unless booked separately. All costs related to accommodation, meals, and transport will be invoiced separately.
13. Privacy and Confidentiality
ChinaMed Waypoint ensures that all personal and medical information shared with us is kept confidential and will only be shared with medical providers as necessary to arrange appointments and services.
14. Governing Law and Dispute Resolution
This Agreement is governed by the laws of the People's Republic of China. Disputes arising from these booking conditions shall be settled through negotiation. If unresolved, disputes may be submitted for arbitration in accordance with the rules of the China International Economic and Trade Arbitration Commission (CIETAC).
15. Knowing and Voluntary Execution
By submitting payment or confirming services, you acknowledge that you have read, understood, and accepted these Booking Conditions. You confirm that you are acting of your own free will and accept all legal implications outlined herein.
